Formula
Each shift = clock-out − clock-in − break. Week = sum of shifts. Overtime = hours over 40; pay = regular hours × rate + overtime hours × rate × 1.5
Every shift is measured in minutes, breaks are taken off, and the shifts are added up. Under the US Fair Labor Standards Act, hours beyond 40 in a workweek are paid at no less than one and a half times the regular rate, so the total is split at 40 and the two parts are priced separately. The law counts by the workweek, not by the day.
Worked example
Five shifts from 08:00 to 18:00 with a 30-minute unpaid break are 9.5 hours each, 47.5 for the week. The first 40 are paid at $20 and the remaining 7.5 at $30: $800 + $225 = $1,025 before tax.
Where this can give the wrong answer
- Federal overtime is counted per workweek — seven consecutive 24-hour periods — and hours may not be averaged across two weeks. A 50-hour week followed by a 30-hour week still has 10 overtime hours. Total one week at a time.
- Working a Saturday, Sunday or holiday does not by itself earn overtime under the federal rule; only passing 40 hours in the week does.
- State law can be more generous than the federal rule, and some employees are exempt from overtime altogether. Your state labor department and your contract decide which applies to you.
- The exact minutes you enter are used. If your employer rounds punches to the nearest quarter hour, enter the rounded times to match your payslip.
- Gross pay is before tax and deductions. Take-home pay depends on federal, state and payroll taxes, which this page does not model.
FAQ
- Payroll works in decimal hours: 30 minutes is half an hour, so 7.50. It is the figure to multiply by your hourly rate. Writing it as 7.30 is the most common time card mistake.
